Choosing clinic management software in Nigeria or Ghana: 10 criteria

To choose clinic management software in Nigeria or Ghana, assess ten criteria: coverage of your departments, ease of use, fit with the local context, continuity during outages, role-based access, data protection, reporting, support, total cost and data portability. Test each one with real cases from your clinic rather than relying on a sales presentation.

Key takeaways

  • Software should be judged on your daily reality: your services, your tariffs, your insurance cover and your power cuts.
  • Three points carry real weight: naira or cedis and local payment methods, handling of NHIS, NHIA, HMO and private insurance cover, and data protection under national law.
  • A scoring grid filled in by management, doctors, the cash office and the pharmacy prevents a decision made by one person.
  • Total cost over several years matters more than the starting price.

Before comparing: clarify your needs

Software only solves the problems you have identified. List your departments, the number of users per role and the issues that come back every week. Our guide to hospital management software explains the modules to know before you start.

Example: a 25-bed clinic in Ibadan notices that the cash office closes every evening with unexplained differences and that the pharmacy discovers stock-outs too late. These two problems become its first selection criteria.

10 criteria for choosing clinic management software

1. Coverage of your departments

Check that the software covers your whole patient journey: reception, consultation, laboratory, imaging, pharmacy, inpatient care and cash office. A tool limited to billing will leave other departments on paper.

2. Ease of use

Your front desk officers, cashiers and nurses work under pressure and are not IT specialists. Example: during the demo, ask your front desk officer to register a new patient themselves and watch where they hesitate.

3. Fit with the local context

The software must handle naira or cedis, your tariffs by patient category and the recording of common payment methods: cash, mobile money, card or bank transfer. It must also track cover from the NHIS in Ghana, from NHIA schemes and HMOs in Nigeria, and from private insurers, with the patient’s share and the payer’s share.

4. Continuity during outages

Ask exactly what happens when power or internet goes down, and how entries made during the outage are caught up. Hosting plays a central role here: our comparison of cloud and on-premise servers will help you decide.

5. Role-based access and audit trail

Each user should only see what they need, and every action should leave a trace. Example: when an invoice is cancelled, management must be able to see who did it, and when.

6. Health data protection

In Nigeria, the Nigeria Data Protection Act 2023 governs personal data and treats health data as sensitive, under the oversight of the Nigeria Data Protection Commission. In Ghana, the Data Protection Act 2012 (Act 843) applies. Ask the vendor which security measures the software provides, and read our guide to health data protection.

7. Reports and dashboards

Management should get activity and revenue by department without re-entering data. Example: the number of consultations for the month and revenue by payment method should be available directly, not after a day of counting in registers.

8. Training and support

Ask about the training planned for each role and whether support is available during your clinic’s working hours. Good software with poor support is quickly abandoned.

9. Total cost of ownership

Add up the licence or subscription, computers, UPS units, internet connection, training and maintenance over several years. Then compare offers on that total, not on the headline price.

10. Data portability

Your clinic is responsible for its patients’ data. Check in writing that you can retrieve it in a usable format, especially if you change provider one day.

A simple grid to score the options

Run the assessment in five steps:

  1. Set up a committee with one representative from each department.
  2. Prepare three or four real cases from your clinic.
  3. Have each vendor walk through these cases on their own screens.
  4. Score each option from 1 to 5 on each criterion, using the table below.
  5. Weight the scores according to your priorities, then compare the totals.
Criterion How to check it Who scores
Department coverage Walk through a full patient journey Medical director
Ease of use Have a front desk officer register a patient Front desk
Local context Bill a service with partial HMO or NHIS cover Cash office
Continuity Ask for the written outage procedure Management
Access and audit trail View the history of a cancelled invoice Finance manager
Data protection Get the security measures in writing Management
Reporting Display the month’s revenue by department Finance manager
Support Read the training plan and support hours Project lead
Total cost Request a full cost estimate over several years Finance manager
Portability Check the data export clause Management

Example: if the cash office is your main source of discrepancies, give double weight to criteria 3 and 5, and have them scored by the head of the cash office.

Common mistakes to avoid

  • Choosing on a standard demo, without your own cases.
  • Leaving the cash office, pharmacy and laboratory out of the selection committee.
  • Underestimating data preparation: services, tariffs, products, insurers and HMOs.
  • Planning training after installation instead of before go-live.
  • Signing without a clear data export clause.

Example: a clinic that discovers after signing that it cannot set different tariffs for each HMO will have to work around the software, with a risk of errors at the cash office.

How MediFlow matches these criteria

MediFlow offers two modules today: on-call management (rosters, attendance, lateness, handovers, operational checks) and the stock room (catalogue, stock movements, inventories, batches, expiry dates, reorder alerts, stock-out forecasts). Laboratory, inpatient care, clinical pharmacy and billing are in development; patient records, appointments and consultations are planned.

Apply your grid to this actual scope and come to the demo with your own cases: a department’s on-call roster, a handover, a stock count, a product close to expiry.

Frequently asked questions

Do we need to register our clinic software with the data protection authority?

Formalities apply to your facility as the organisation processing patient data, not to the software itself. In Ghana, the Data Protection Act 2012 (Act 843) requires data controllers to register with the Data Protection Commission. In Nigeria, the Nigeria Data Protection Act 2023 sets registration duties for certain controllers with the NDPC. Check the exact requirements with the relevant authority.

Is software built in Africa better than an international solution?

Origin matters less than fit with your reality: naira or cedis, payment methods, NHIS, NHIA and HMO cover, reachable support and connectivity conditions. Test these points in practice, wherever the software comes from.

Who should take part in choosing clinic software?

Management, the medical director, the head of the cash office, the pharmacist, the laboratory lead, a ward manager and a front desk officer. Each one tests the screens for their own department and scores the options on a shared grid.
